Setting Up a QuickBooks Online Account
DO NOT SET UP YOUR OWN ACCOUNT ON INTUIT.COM - FOLLOW THE BELOW STEPS
- Send an email to wgogan@thresholdbrands.com requesting a new QuickBooks Online Account.
- We will provision your account and get it's basic settings set up for you.
- Once we have completed our steps, you will receive an email from us with your new credentials.
Migrating Data from Desktop to Online
These steps MUST be completed within 45 days of receiving your QuickBooks Online Login!
- Get your desktop file ready to move!
- Make QuickBooks is up to date.
- In QuickBooks, press F2 (or Ctrl+1) to open the Product Information window.
Check your current version and release. You’ll have greater success if you have the following QuickBooks versions and releases or higher: 2019 R17, 2020 R15, 2021 R10, and 2022 R5.
- In QuickBooks, press F2 (or Ctrl+1) to open the Product Information window.
- Ensure your company file is the right size for export.
- The total targets need to be less than 750,000 for it to be converted to QuickBooks Online. Press Ctrl+1 on your keyboard to check. If it’s more than said number, you have the option to either import lists and balances into QBO or start fresh.

- Print a copy of your Sales Tax Liability report. You'll need it to enter adjustment entries after your move.
- Go to Reports, then select Vendors & Payables. Select Sales Tax Liability.
- From the Dates▼ dropdown, select All.
- From the Print▼ dropdown, select Save as PDF.
- Choose the folder you want to save it in, name the file, and select Save.
- Optional: If using QuickBooks Payroll:
- Make sure to terminate or deactivate any employees that are no longer working for you and haven't been paid in the current year.
- Make sure to wait 2-3 days after you've run payroll to move your data. This will ensure all your paycheck info transfers over to QuickBooks Online. Then make sure to move your data before your next payroll.
- Make QuickBooks is up to date.
- Move your Desktop File to QuickBooks Online
- Note: If your QuickBooks version is 2020 or older, you can move your data to QuickBooks Online with an online tool.
- For QuickBooks Desktop Pro or Premier:
- Update QuickBooks Desktop
- Make sure QuickBooks Desktop is up-to-date before you begin to copy your data to QuickBooks Online. Download and install the latest updates for QuickBooks Desktop.
- Make sure QuickBooks Desktop is up-to-date before you begin to copy your data to QuickBooks Online. Download and install the latest updates for QuickBooks Desktop.
- Backup your company file
- Before you make any changes, make sure you backup your QuickBooks Desktop company file.
- Verify and rebuild your company data
- We want to make sure you have a smooth transition. Make sure you Verify and Rebuild Data in QuickBooks Desktop before you make the switch to QuickBooks Online.
- Copy your company file to QuickBooks Online:
- Sign in as an admin.
- Go to Company, then select Export Your Company File to QuickBooks Online.
- Select Get started.
- Sign in as an admin to your QuickBooks Online company.
- Select Choose online company, and choose the company you want to replace with your company file.
- Select Continue.
- If you track inventory in QuickBooks Desktop:
- Select Yes to bring them over, then enter the as-of date.
Note: Use the first day after your last tax filing period as your inventory start date. - Select No if you want to set up new items later in QuickBooks Online.
- Select Yes to bring them over, then enter the as-of date.
- Note: If you already have data in a QuickBooks Online account, QuickBooks will ask if you want to replace the existing data.
- Enter Agree in the text field, then select Replace.
- Select Yes, go ahead and replace the data, then select Replace.
- Update QuickBooks Desktop
- For QuickBooks Desktop Enterprise:
- Update QuickBooks Desktop
- Make sure QuickBooks Desktop is up-to-date before you begin to copy your data to QuickBooks Online. Download and install the latest updates for QuickBooks Desktop.
- Backup your company file

- If you use advanced features (such as advanced reporting and advanced inventory), start fresh so that all your data will move to QuickBooks Online. If you want to use these features in Enterprise, learn about cloud-enabled QuickBooks Desktop Enterprise.
- Sign in as an admin to the desktop company file you want to move.
- On your keyboard, press Ctrl + 1 to open the Product Information window.
- Press Ctrl + B + Q, then select OK to display the export window, then select Get started.
- Sign in as an admin to your QuickBooks Online company.
- Select Choose online company, then select the company you want to replace with your company file, then select Continue.
- If you track inventory in QuickBooks Desktop:

- Update QuickBooks Desktop
- Moving from Quickbooks Desktop on Mac:
- Using QuickBooks Desktop version 2020 and newer:
- Sign in to your QuickBooks Desktop file as the admin.
- Select File, Export and then To QuickBooks Online.(You can also use the keyboard shortcut Shift + Command + D).
- Select Get started.
- Select Export all your company file data or Export specific data.
- If you use inventory, you can choose whether you want to move inventory or not.
- Select Yes, sign me in and enter the credentials.
- Select the QuickBooks Online company to move your data to, then select Continue.
- Your migration has started. Your QuickBooks Desktop data will replace any data already entered in QuickBooks Online.
- After you move your data to QuickBooks Online:
- You’ll receive an email confirmation once the move is done.
- Confirmation can take up to 12 hours.

- Using QuickBooks Desktop version 2019 and older:
- Move your QuickBooks Mac file to QuickBooks Desktop for Windows.
- Use the online migration tool to move your file to QuickBooks Online.
- Note: If your company data more than 350,000 targets, you will need to condense your file.
- After you move your data to QuickBooks Online
- You’ll receive an email confirmation once the move is done.
- Confirmation can take up to 24 hours.
